Many companies start managing their processes with spreadsheets. It’s fast, accessible, and familiar. For small teams or simple workflows, Excel is a flexible ally. But as an organization grows, those initial advantages quickly turn into bottlenecks. When you start relying on multiple linked files, formulas, macros, and manual updates, the fragility of the system becomes obvious.
This inspiring case study shows how a professional services company moved away from dependency on shared spreadsheets to adopt an integrated digital platform. As part of the consulting team, I was involved from the diagnostic phase through the internal change management process. What we learned along the way is that transforming operations doesn’t require huge budgets—it requires clear goals and disciplined execution.
For years, this company operated with a series of interconnected Excel files stored in shared folders. Each department had its own sheet, and some were linked to others for semi-automated tasks. They used this setup to manage:

Monthly billing: one consolidated sheet tracked contracted services by client and generated invoices semi-automatically.

The solution was a custom web platform with a modular design, featuring specific functionalities for each department: sales, finance, operations, and management.
After six months of work—including phases of development, testing, refinement, and training—the company achieved concrete results:
